Requesting USCIS Filing Fees and Express Mail Labels

Check requests, which are processed on the form called “Electronic Check Request” (ECR) in 49erMart are handled by the Travel and Complex Payments Office. Allow up to 2 weeks minimum for a check request.  

Email acctpay@charlotte.edu to get permission to pick up the check in person from the Cashier’s Office.  Sample text: I am requesting permission to pick up a check for filing together with *faculty name* application for an H-1B visa extension. The check must be included with the application. The person who will pick up the check is *person name* in the *department name*.  You will need to attach the email of approval for pick up to the ECR.

Check requests for visa fees require supporting documentation, and usually need to be approved by the Budget Office. You must include a statement that payment of the visa fee is a requirement for employment and that the visa is specific to the position. For example: “Processing fee for John DOE for H-1B/0-1 visa extension. Dr. DOE has accepted position #1234 Assistant Professor in Smart Science for a tenure track appointment Date X – Date Y. This processing fee is to extend his H-1B/O-1 visa so that he can be employed by UNC Charlotte. This visa is specific to this particular position.”

In the “Check Comment” box, put the name and contact number for the person picking up the check.

Please indicate the name of the faculty member in the internal comments and in the name of the cart.
